1. What Orvion Does
Orvion is a software-as-a-service platform for local service businesses. It helps businesses handle customer intake, qualification, communications, scheduling, booking, and follow-up through channels such as phone, SMS, messaging, and web chat.
Businesses using Orvion may provide us with information about their own customers and prospects so that Orvion can perform these functions on their behalf.
2. Information We Collect
Depending on how you use Orvion, we may collect the following categories of information.
Account and business information
This may include:
- name;
- email address;
- phone number;
- business name;
- business type;
- service area;
- working hours;
- account and tenant settings;

Customer and lead information processed for Orvion subscribers
Our subscribers may provide or collect through Orvion information such as:
- customer name;
- phone number;
- email address;

This information is generally processed on behalf of the Orvion subscriber that uses our service.

- call or voice content, transcripts, or recordings where such features are enabled and lawfully used;
- web chat content;
- communication timestamps and delivery status.
Payment information
Payments may be processed by independent third-party payment providers or Merchants of Record.
Orvion does not need to receive or store full payment-card numbers.
We may receive limited payment-related information such as:
- transaction or checkout identifiers;
- subscription status;
- payment status;

The payment provider's own privacy policy applies to information it processes independently.

- error and diagnostic information;
- security and fraud-prevention signals.
Public website analytics
We use self-hosted Umami analytics to understand visits to our public website and aggregate actions such as starting registration, successful registration and login, viewing pricing, initiating checkout, and opening contact links. Analytics includes public page paths, limited campaign labels (UTM parameters), referring website origins, browser/device information, and approximate country derived from the connection's IP address. Umami uses its standard rotating anonymous visitor/session mechanism without analytics cookies; we do not assign customer account identifiers to analytics visitors.
We also measure public marketing-page scroll milestones (50%, 75%, 90%) and numeric website performance (loading speed, responsiveness, and layout stability). Fixed event categories describe where public links were clicked, which public product category was selected, the first authenticated dashboard entry observed in a browser document, and an explicit channel-setup action. These milestones do not establish an account's first-ever activity or a successful payment or connection.
We exclude private conversations, account content, form values, names, email addresses, phone numbers, passwords, authentication tokens, and payment identifiers. Arbitrary URL query parameters and URL fragments are excluded. We do not use session replay, recording, individual email-link tracking, or custom persistent visitor identifiers. Our tracker respects the browser's Do Not Track setting. Analytics data is stored on Orvion infrastructure, with an initial rolling retention of 90 days; backup copies expire separately under our backup retention policy.
3. How We Use Information
We use personal information to:
- provide and operate Orvion;

We do not use customer communication data to independently market unrelated products to our subscribers' customers.
4. Our Role for Subscriber Customer Data
When an Orvion subscriber uses the service to communicate with or manage its own customers, the subscriber generally determines why that customer information is processed.
For such information, Orvion generally acts as a service provider or processor on behalf of the subscriber, except where we process information for our own limited purposes such as security, fraud prevention, legal compliance, or service reliability.
Subscribers are responsible for having any notices, permissions, consents, or other lawful basis required for their use of Orvion.

These providers may process information only as appropriate to the services they provide and under their own contractual and legal obligations.
A payment provider or Merchant of Record may act as an independent controller for payment, tax, fraud-prevention, and compliance information.
8. International Data Transfers
Orvion and its service providers may process information in countries other than the country where the information was originally collected.
Where required, appropriate legal mechanisms and safeguards are used for international transfers of personal information.
